A rota that arrives as a spreadsheet

Many rotas arrive as an attachment or a shared sheet. On Time reads both. If you are starting from nothing, the template below is already in the right shape.

The rota template

One row per day: date, shift code, start, finish, postal code / zip, and country (pre-filled UK, with a dropdown for other countries in the Excel version). A second sheet is the key: what each code means and when it starts. Fill it in, or send it to whoever writes the rota.

An Excel or CSV file

  1. Get the file onto the phone (save the email attachment, or open it from Drive, OneDrive or Files).
  2. In On Time tap "Import a file" and pick it.
  3. Tap a date on the sheet, then your shift column or row, and check the list.
  4. Type the codes from the key once, under Settings → Shift codes. When the next rota comes out, import that one the same way.

A Google Sheet that updates on its own

  1. Open the sheet, tap Share, set "General access" to "Anyone with the link" (Viewer), tap "Copy link".
  2. In On Time tap "Add a link", paste it, tap "Check the link".
Anyone with that link can read the sheet. Prefer privacy? Download it as Excel and use "Import a file".
